Introduction
G&K Transaction Management ("G&K," "we," "us") provides administrative transaction coordination services to licensed California real estate professionals. This Privacy Policy explains what information we collect through gktransactions.com, how we use it, who we share it with, and the choices available to you.
This policy applies to information collected through our website. It does not alter the terms of the Professional Services Agreement between G&K and its Clients.

Who This Policy Covers
This policy addresses two groups:
Clients. Licensed real estate agents and brokers who submit transactions to G&K.
Transaction participants. Buyers, sellers, and third-party vendors whose information a Client provides to us in the course of a transaction. These individuals do not typically interact with our website directly. Their information reaches us through the Client who submitted the transaction.

Information We Collect
Information Clients provide when submitting a transaction
- Name, brokerage, real estate license number, email address, and telephone number
- Commission information, if the Client chooses to provide it
- Property address, property type, MLS number, contract execution date, estimated closing date, and purchase or lease price
- Names of buyers and sellers, and contact information for the party the Client represents
- Company names, representative names, telephone numbers, and email addresses for escrow, title, lender, natural hazard disclosure, termite, home warranty, and home inspection providers
- The date and time the Client accepted our Professional Services Agreement, and the version accepted
Documents
Clients upload transaction documents including the executed purchase agreement, and may upload addenda, disclosures, and other transaction records. These documents commonly contain names, addresses, financial terms, and other personal information relating to buyers and sellers.
Payment information
We do not collect or store payment card numbers. Payments made through our website are processed by Stripe, Inc. Stripe collects and processes card information directly under its own privacy policy. We receive only a transaction confirmation, the amount, and a payment reference.
Information collected automatically
Our website does not use analytics services, advertising networks, tracking pixels, or behavioral tracking. Our hosting and infrastructure providers maintain standard server logs, which may include IP addresses and request data, for security and operational purposes.
[CLIENT DECISION] Confirm whether any cookies are set. If the site sets none beyond what hosting requires, say so plainly. That is a genuine advantage and worth stating.

Information About Third Parties
When a Client submits a transaction, the Client provides information about buyers, sellers, and vendors involved in that transaction. Those individuals are not our Clients and generally have no direct relationship with G&K.
Clients are responsible for having the authority to share that information with us. We use it solely to perform the administrative transaction coordination services the Client has requested.

How We Use Information
We use the information described above to:
- Open, organize, and coordinate transaction files
- Communicate with Clients, buyers, sellers, escrow, title, lenders, and other authorized transaction participants
- Monitor contractual deadlines and provide status updates
- Prepare and deliver invoices and process payments
- Maintain records of agreement acceptance
- Support brokerage compliance requirements at a Client's request
- Respond to inquiries submitted through our website
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

We use the following providers to operate our services. Each processes information only as necessary to provide its service to us.
Supabase
Purpose: Database and document storage
Receives: Transaction data and uploaded documents
Vercel
Purpose: Website hosting
Receives: Website requests and server logs
Stripe
Purpose: Payment processing and invoicing
Receives: Payment and billing information
Resend
Purpose: Transactional email delivery
Receives: Recipient email addresses and message content
AFrame
Purpose: Transaction coordination platform
Receives: Transaction data, participant contacts, and documents
Cloudflare
Purpose: Domain and email routing
Receives: Website and email routing data
Google Workspace
Purpose: Business email and file backup
Receives: Email correspondence and backup records
AFrame is an independent third-party platform. Its use is described in Section 5.11 of our Professional Services Agreement.

How We Protect Information
We maintain reasonable administrative and technical safeguards, including:
- Encrypted connections for all website traffic
- Private document storage that is not publicly accessible
- Time-limited access links for document retrieval
- Database access controls preventing public access to submitted records
- Server-side processing of all submissions
No method of transmission or storage is completely secure. We cannot guarantee absolute security.

Data Retention
[CLIENT DECISION] How long records are kept after a transaction closes or is cancelled.
Considerations for that decision: California real estate brokerages are generally required to retain transaction records for three years, and many coordinators align with that period. Retention should be long enough to serve compliance and dispute needs, and no longer than necessary.
Draft language once decided:
We retain transaction records and documents for [PERIOD] following the close or cancellation of a transaction, after which records are deleted or archived. We may retain certain records longer where required by law or to resolve disputes.

Your Choices and Rights
If you are a California resident, you may have rights regarding personal information about you, including the right to request access to, correction of, or deletion of that information.
To make a request, contact us at support@gktransactions.com. We will respond consistent with applicable law.
Because much of the information we hold was provided to us by a real estate agent in connection with a transaction, and because brokerages and escrow holders maintain their own records, some requests may need to be directed to the agent or brokerage that submitted the transaction. We will assist in identifying the appropriate party where we can.
[CLIENT DECISION] Whether to state formal CCPA compliance. The statute's thresholds are revenue and data-volume based and may not apply to a business this size. Stating rights and a contact method is appropriate regardless. Claiming compliance with a specific statute is a decision for her attorney.

Children's Privacy
Our services are directed to licensed real estate professionals. We do not knowingly collect personal information from anyone under 18.

Changes to This Policy
We may update this policy. The effective date at the top will reflect the most recent revision. Material changes will be communicated to active Clients.
